Who Needs Property Management in Portugal
- You own a Portuguese rental property and need lease, rent and maintenance records handled together.
- You live away from the property and need an authorised person to manage specified owner tasks.
- You need condominium charges and decisions tracked alongside the tenancy.
- You want the owner records prepared for tax or accounting work.
Approving spending beyond your mandate, a regulated mediation service without the required licence and any promise of a tenant or rental return are outside the offer.
What's Included in Property Management
The owner tasks identified in the mandate are carried out and the supporting records are kept together.
- Owner mandate. The property, access, spending authority and decisions reserved to you are recorded in the mandate.
- Lease administration. A specialist tracks the lease, tenant notices, rent and deposit records within the agreed authority.
- Tax communication. The lease communication and rent-receipt records required for the owner's tax work are prepared.
- Maintenance. Repair requests, contractor documents and owner approvals are recorded before instructed work proceeds.
- Condominium matters. Assembly minutes, charges, reserve contributions and decisions affecting the unit are tracked.
- Professional boundaries. A specialist identifies when a distinct regulated task needs an accountant or an IMPIC-licensed real-estate mediator.

The landlord reports a lease event by the end of the following month. The landlord issues a receipt for rent, a deposit or an advance. The condominium assembly approves accounts and the budget. Each owner contributes at least 10% of the other condominium charges.

How Property Management Starts
A specialist files the lease communication with the Autoridade Tributária e Aduaneira when the scope includes it and flags receipts, property tax and condominium obligations along the way.
-
Set the owner's mandate
You define the property tasks, access, approvals and spending limits.
-
Collect the lease and property records
The title, tenancy, rent and condominium documents are collected.
-
Check lease and receipt obligations
A specialist lists the communication and receipt records relevant to the owner.
-
Organize maintenance and charges
The current repair requests, condominium charges and owner decisions needed are set out.
-
Maintain the owner file
Rent, notices, expenses and decisions are recorded as the agreed work proceeds.
Timing and Possible Delays
Set by the mandate and property needs
The work is planned around the lease, owner approvals and any statutory communication dates.
What delays it
The work takes longer when the lease file is incomplete, a condominium decision is pending or a contractor must assess a repair.
What to prepare now
The title, lease, rent ledger, condominium records and owner mandate are requested before work starts.
Owner Records and Adjacent Duties
Keep the owner’s authority specific
You should record who may instruct a repair, approve a contractor and spend from the owner’s funds. Each instruction is kept with its estimate and invoice so the later expense record shows the decision that authorised it.
Preserve the notice trail
A landlord’s notice trail consists of the signed lease, renewal history, notice text and proof of delivery. Keep the delivery receipt beside the signed notice and lease so the date the tenant received the notice can be shown.
Reconcile rent and expense evidence
A specialist compares the rent ledger with bank receipts, deposits and expense invoices before the tax information is prepared. You can then distinguish rent received from a deposit held and identify missing supporting documents for the accountant.
Describe the property and owner tasks
State where the property is, whether it is let and what authority you want to give.
